Booth Fees
2026 fees are the same as 2025!
Early Bird: $595.00 through 1/15/2026, then $655.00
How to: Register a Booth
Booths with a green fill are open for reservation.

Zoom into the map booth below to see more details on each booth – number, size, and cost.

Once you’ve found the right booth, click on it to select. The panel on the left should display the relevant booth information.

When you’re ready to move forward, click “reserve” on the left panel. You’ll be taken to the exhibitor portal to complete your reservation.

In the registration page, you’re able to select booth add-ons & sponsorships to your reservation.

Once you’ve selected any add-ons & your information is correctly entered – press “Reserve” at the bottom of the page. You’re all set!
Once you’ve registered you’ll receive information via the provided email, as well as the link to your individual exhibitor portal.

Vendor Load In & Out Instructions
Loading In

Load In for all Vendors will be at our RG&E Entrance, Located off of South Avenue.

Vendors may pull into the RG&E Entrance, Unload, and then must go park their vehicle.

There is no Parking Permitted in the RGE lot, these spots are all reserved for staff.

There will be some carts available for use.

Loading Out

You may begin to Load-Out when the Event is
closed -
Pack up your booth / table prior to retrieving your vehicle.

Pull your vehicle up to the RGE Entrance and Load out.

Western New York Food Expo must be on the label or your shipment will not be recieved.
Shipping Conditions

We will accept shipments a week before the event.

The exhibitors are responsible for shipping to and from the Convention Center. Once the event is over, the exhibitors may leave any outgoing shipments on their table.

All shipments must be boxed up and taped, with a pre-printed return label.

Exhibitors may use any shipping company they like; we do not have a preferred vendor. We ask that they schedule pickup within (24-48) hours of the event completion.
